How To Check In At The Reception?

1. Open the Innovation City app before you reach the iPad in the office reception

2. Tap your phone on the iPad in the reception until it says "Checking you in"

 

If this does not work:

a. On the app, click on the "..." button on the bottom right corner of the app

b. Click on "My Profile"

c. Click on "Your PIN and Password" and enter the 5 digit pin onto the iPad

 

How To Book a Meeting Room? (From Desktop)

1. Click on your name on the top right corner

2. Select “My bookings” from dropdown menu

3. Click on “Make a Booking

4. Available resources are listed on this page. Alternate between “Card view” (to see description of each room) or “Calendar view” (to see what rooms are  available at specific times).

5. Click on the “Book now” button on the room you want. Then select date and time - finish by clicking on “Request booking”.

6. All your meeting room bookings are visible under “My Bookings”. Here you can also cancel or change your meeting room bookings.

 

How To Book a Meeting Room? (From App)

1. Click on the "calendar / clock icon" on the app, followed by "Available Resources"

2. Set the time and date, to browse through the available rooms

3. Select a room, confirm the time and click "Add to Basket"

4. To view all your booked meeting rooms, click on "Upcoming Bookings - See All"

How to Integrate Meeting Room Bookings into Google Calendar? (From Desktop)

1. Log in to the Members Portal with your credentials.

2. Click Settings > Integrations.

3. Click Connect to Google Calendar.

4. Log in to your Google account.

3. Click Allow.

 

When your meeting room booking is confirmed, it will automatically appear in your Google Calendar.

 

Cost of Meeting & Boardrooms / Membership Discount ?

Each company has a set number of free meeting and boardroom hours per month, depending on what membership they have. 

 

Once the free hours have been used, the rooms will be billed at an hourly rate with a x % discount applied, depending on the membership agreement. All prices are ex VAT.

 

Membership discount on meeting & boardrooms:

Meeting room base rate is ZAR 100 per hour for the following rooms:

  • DOH

Boardroom base rate:

  • HGK - ZAR 450 per hour
  • CPT - ZAR 450 per hour
  • JFK - ZAR 1,875 per hour

How Many Free Meeting & Boardroom Hours Per Month? (From Desktop)

Each company has a set number of free meeting and boardroom hours per month, depending on what membership they have. These hours are per company, not per individual. The free hours do not roll over to the following month.

3. Scroll down to "Benefits" to see quantity of free room hours per month and remaining hours.

How To Print?

Install Printer software

 

Email [email protected] and ask that they help you to install and set up the printing software on your computer

 

Retrieve Printing

 

Step 1: Select company list

Step 2:  Select your company

Step 3: Type in your company’s 4-digit code provided by Innovation City, once that is done you Prints should automatically print.

To scan please login into the printer with your company name and code, and then select scan to email and impute your email address and hit SCAN.

How To Update Personal Profile? (From Desktop)

1. Click on your name on the top right corner

2. Select “My account” from dropdown menu

3. “My account” settings are listed on left side of Profile page

4. Update the following fields and “save changes” once updated:

- Your Photo

- Personal details

- Professional profile

- Social network

How To Update Personal Profile? (From App)

1. On the app home screen, click on the "..." icon on the bottom right corner, followed by clicking "My Profile"

2.  On "My Profile" upload a photo, update "Personal Information", "Professional Profile" and "Social Networks"

How To Register a Visitor? (From Desktop)

1. Click on your name on the top right corner

2. Select “My account” from dropdown menu

3.  In the Settings column, scroll down to the bottom and click on "My Visitors"

4. Enter the details of your visitor and click "Register Visitor" they will receive an email with a unique QR code to use when checking in at the iPad in the office reception

5. Your visitor will receive an email with a unique QR code / PIN to use when checking in on the iPad in the office reception. They must they accept "Terms & Conditions" (link in email) for the their unique code to activate

How To Register a Visitor? (From App)

1. Click on the "..." icon on the bottom right corner of the app, then click on "My Activity"

2. Click on "My Visitors"

3. Click on the "+" icon to add a visitor

4. Enter the details of your visitor and click on "Invite Visitor"

4. Your visitor will receive an email with a unique QR code / PIN to use when checking in on the iPad in the office reception. They must they accept "Terms & Conditions" (link in email) for the their unique code to activate.

Membership

Access to Innovation City is based on memberships. There are different membership categories depending on the individual member’s needs. Access and services differ per membership type, for example Flex members are restricted from sitting in Partner member areas.  All restrictions and rules regarding each membership are listed in the respective contracts.

 

Newsletter

All important news and updates regarding your Innovation City membership will be posted in the monthly newsletter sent by email. Please make sure to read it through every week to keep up to date with the latest news. You will get uplifted, enlightened – and from time to time – surprised, too! 

 

Private Desks & Open Spaces

At Innovation City, we share many spaces and the conditions to make this work are very simple – keep it clean and leave it as you would like to find it. Let’s create true togetherness. To maintain our aesthetic environment, we ask you to keep your space neat and tidy.

 

Silent Zones

We have a few silent zones around the open spaces. Please don’t take any phone calls, meetings or do other things that might disturb others in these areas. 

 

Community

Innovation City is not an office hotel where everyone hides behind closed doors and only minds their own business. Innovation City is a community of like-minded persons and companies at the heart of Cape Town’s innovation and growth cluster.

Members at Innovation City are expected to be an active part of the Innovation City community. We encourage and expect members to network and engage with other members. We encourage all members to arrange an event, happening or other element that fellow members can take part in. Our expectation is one event per year, but you’re always welcome to contribute as much as you like!

Confidentiality

Innovation City loves it when our members share their work and collaborate, but please respect that some of the information and work that takes place at Innovation City is confidential and should therefore not be disclosed.

 

Animals & Children at Innovation City

We love animals, but they are not allowed at Innovation City for health and hygiene reasons. We love kids too and we hope in time to welcome them to Innovation City, but until then, no kids allowed. 

 

Event Sign Up & RSVP

We regularly host events and happenings at Innovation City. This is all done for the benefit of our members. The events are posted on our website, the screens around the building, as well as in our newsletters and on our Social Media. Please don’t sign up for events and then not show up, as this means you’re taking a place that could have benefited someone else. Abusing the event bookings may lead to exclusion from participation at future Innovation City events. Hey, we’re on this beautiful journey together!

 

Innovation City Team & Staff

The Innovation City Team is a part of the community, as well as our cleaners. Please always be respectful in the way we treat each other.

 

Guests & Visitors

Members are allowed to bring guests and visitors to Innovation City. All visitors must register at Service Desk.Members are responsible for their visitors and for ensuring that they follow these rules and policies.

 

Meeting Rooms

Innovation City has many meeting rooms of various sizes. Rooms are booked either via Innovation City app, Member's Portal, at Service Desk or via email to [email protected].  

The room must always be booked if you want to use the room. Even if the door is open or if the room is available, all meeting rooms must be booked for use. Meeting room use will be billed for those hours booked in excess of the free hours included in the member’s Membership type. 

 

Event Spaces

Innovation City has 2 main event spaces; The Ground Floor and the amphi (first floor). These spaces can only be booked by mailing us at [email protected].  The spaces must always be booked if you want to use them, even if there’s no one there and the space looks available. If a member uses a space without booking it, a warning will be sent

 

Innovation City Property

All property at Innovation City must be handled with respect and care.  Please inform the Service Team ([email protected]) if something is broken or damaged. In the unfortunate instance where a Member member is caught stealing or damaging property belonging to another member or Innovation City, the Member will immediately receive a revocation of their membership and be liable for the repair/replacement cost of the property that was broken.

 

Studios

All Studio members have a responsibility to keep their studio presentable and clean. Adding any branding elements to the Studio must be coordinated with Innovation City and the member is obliged to restore the Studio to the original condition when leaving Innovation City.

 

Food, Restaurant – and drinks!

Members are to please be mindful of external food they bring into Innovation City - this is a shared space and we need to be conscious of food that may create an unpleasant environment for others. We remind all members of our excellent in-house cafe, FIKA. 

Innovation City understands that some of its Members may wish to purchase alcoholic beverages offsite, and keep them in their Studios with the intention to offer them to their Employees or Clientele from time to time. Alcoholic beverages may only be stored in Closed Studios and not in Open Studios or communal kitchens. Members should be mindful of other Members and always be courteous and considerate when consuming alcoholic beverages in the Innovation City building. This would include keeping gatherings controlled and noise levels to a minimum.  This would exclude open events where alcoholic beverages may be served, depending on the nature of the event. 

 

Waste, Garbage & Recycling

We care about our space and want to keep it as clean as possible. Please throw away your garbage in the trash and recycling bins around the building and if there’s something that doesn’t fit in these, drop it off at Reception and we’ll take care of it. If a member needs help with carrying garbage away, let us know at [email protected].

 

Illegal Substances

No member or guest of a member shall use, ingest, possess or distribute illegal drugs or substances on Innovation City’s premises.

 

Smoking

Smoking (including vaping) is not allowed inside the Innovation City building, nor in any parking area, at any time. There is a designated smoking area equipped with ashtrays. Thank you for smoking only at the designated areas!

 

Parking

Parking for members and guests is included in certain Membership Contracts.  Any (additional) requests for parking  need to be addressed in writing to [email protected] at least 1 day in advance. Any illegal parking will result in clamping by building security and be subject to a release fee.

 

Security and access

It is in the interest of everyone in our community to have a safe working space.  Access to Innovation City is strictly controlled via members’ access tags. It is everyone’s responsibility to keep an eye out for any suspicious activity or any attempted illegal access.  Please report anything suspicious straight away to [email protected]. Members are responsible for all guests that enter the premises with them, including the actions of their guests. Access to the building is only from 8am to 9pm on weekdays, excluding public holidays. Access outside of these hours needs to be pre-arranged in writing with the Hospitality Manager ([email protected]). Ground floor middle doors are the ONLY ones to be used. Emergency doors are connected to the alarm system and are to be used in case of emergencies only. Access tags are to be kept on members at all times. Should you lose your access tag, this is to be reported immediately to [email protected]; a new tag will then be issued for the cost of the member. 

 

WiFi and Network Access and Acceptable Use

Only members of Innovation City will be provided access to the Innovation City WiFi network. The login details are not to be shared with any non-members. 

Any guests of/visitors for members will only be provided WiFi access on a guest network, which is to be arranged with Service Desk or by emailing [email protected] in advance. 

IT equipment other than laptops that a member wishes to connect to the Innovation City network will require prior written approval - all requests can be sent to [email protected] for review.  

All Members have access to various colour printers located within Innovation City. Members are free to use the printing facilities within reason and any Member found using the printers contrary to these guidelines, or in excess of what is deemed reasonable, may be charged for additional use. Members should also be considerate towards others by replenching paper when required or notify Innovation City staff should they experience any problems whilst using the printers.

All members are responsible for maintaining adequate cyber and other security protocols for any/all equipment (hardware or software) connected to/via the Innovation City network. 

Innovation City is not liable for any damages or breach of such security protocols as a result of the member’s connection to the network. It is expected that any usage of the network is for legitimate and legal purposes only. Non-compliance with these requirements could result in the immediate termination of membership and Innovation City reserves the right to pursue any legal action. 

 

Bathroom and Shower Room Etiquette

Keep all bathrooms, toilets and shower rooms clean and leave them as you would like to find it. 

 

Interpretation of the Rules

By signing a membership contract, all members agree to these terms and conditions which means that any contravention of these rules will come with a warning or immediate revocation of your membership. Innovation City reserves the right to terminate any membership at any time according to the terms set out in the agreement or these rules.

 

Innovation City Trademarks

Members and guests may not use the names, logos, trademarks, member information, pictures or other identifying features of Innovation City in any context without prior written permission from Innovation City.

 

Safety of Members and Guests

In the event of a fire drill or emergency, Members are expected to follow the guidelines being communicated by the Innovation City Team. Failure to adhere to these guidelines could result in cancellation of your membership.

 

Amendments & Additional Rules

Innovation City may change any of the rules of membership by reasonable notice and communication to the members. 

Additional rules may be prescribed in specific areas of Innovation City and the management of Innovation City may from time to time prescribe temporary rule changes or exceptions.

Load-shedding Impacting The Office?

Load-shedding does not impact the office

 

- Currently, the office building is not on a load-shedding grid and is not affected. The building has backup generators. The generator can run for 10 days continuously, after which it needs a cool-down period.

 

- The block where Innovation City is located has a dedicated generator. The building has 450 KVA John Deere generators onsite dedicated to the building.
