Innovation City is looking for a Part-Time Financial Adminsistrator  to support our small team with bookkeeping, accounts, and monthly reporting. This role is ideal for someone with strong financial admin or bookkeeping experience, perhaps a mature professional, parent, or someone seeking flexible hours in a stimulating yet supportive environment.

 

About the Role

As Financial Administrator, you will be instrumental in keeping our finances in order and supporting our Events, Services, Partnerships, and Business Development teams with day-to-day financial operations. This is a part-time, in-office role (±20–25 hours per week), well-suited to someone who is detail-oriented, organised, and confident working independently.

 

Key Objectives

  • Maintain accurate and up-to-date financial records
  • Support budget tracking and monthly closing processes
  • Generate and track invoices and payments across departments
  • Contribute to internal reporting and identify process improvements

 

Responsibilities

  • Bookkeeping: Record transactions and liaise with our group finance team for accurate reporting
  • Accounts Admin: Send and track invoices, manage payment links, and reconcile income
  • Budget Support: Help monitor and maintain department budgets
  • Reporting: Assist with monthly summaries and financial insights
  • CRM Finance Admin: Ensure accuracy and timeliness of CRM-generated financial data

Requirements

  • Minimum 2 years of bookkeeping or financial admin experience
  • BCom or equivalent qualification preferred, but experience counts
  • Proficiency in Excel, Google Sheets, and Xero
  • Highly organised, discreet, and dependable
  • Able to work independently and manage time efficiently
  • Friendly and collaborative, with great communication skills

Role Overview:

This role is perfect for someone who thrives at the intersection of creativity and digital strategy. You will work closely with the Head of Marketing in the creation and management of all digital marketing and design efforts across multiple platforms and touchpoints, ensuring Innovation City’s brand remains bold, consistent, and engaging. 

Key Responsibilities:

Digital Marketing:

  • Manage Innovation City’s social media platforms (Instagram, Facebook, LinkedIn)
  • Develop and schedule engaging content aligned with our brand voice and strategic goals
  • Plan and execute paid campaigns (LinkedIn Ads, Facebook Business Suite)
  • Monitor and report on analytics and performance insights across channels
  • Drive community engagement through timely interaction and digital conversations
  • Design and manage Innovation City’s weekly newsletter via Mailchimp
  • Handle event ticketing setup, management, and tracking for all Innovation City events

     

Graphic Design & Content Creation:

  • Design all marketing collateral for online and offline use, including event branding, signage, and presentations
  • Create and update digital assets for Innovation City’s website, events, and campaigns
  • Lead the design and development of landing pages and microsites for major events
  • Maintain brand consistency across all touchpoints and communications
  • Design Innovation City’s internal and external presentations

     

Web & Platform Management:

  • Maintain and update Innovation City’s WordPress website
  • Ensure all platforms are visually aligned and functioning effectively

     

Tools & Platforms You’ll Use:

  • Design: Adobe Illustrator, Canva
  • Marketing: Mailchimp, Facebook Business Suite, LinkedIn Ads
  • Web: WordPress
  • Analytics & Reporting: Platform-native insights and reporting tools
  • Event Management: Event ticketing platforms
